This notice explains what we do with your personal information when you book Bartley House, send us an enquiry, or simply read the site. We've written it in plain English rather than legal boilerplate, and it describes what our systems actually do.
Who we are
Bartley House is run by Matt and Amanda Pearse as a small family business. We are the "data controller" for the information described here, which means we decide what is collected and why, and we are responsible for looking after it.

What we collect, and why
When you book
We ask for your first and last name, email address and phone number, along with the dates of your stay, how many guests and pets are coming, and any special requests you write in. We need these to hold the dates, to send you booking and arrival details, and to reach you if something changes. The legal basis is that we need this information to perform our contract with you.
When you send an enquiry
The contact form collects your name, email address, the dates you're asking about and your message. Behind the scenes it also records the IP address the message came from and your browser's user-agent string. Those two are kept purely to block spam and abuse — they are never used to build a picture of you, and they are never shown publicly. The legal basis is our legitimate interest in answering genuine enquiries and keeping the form usable.
When you leave a review
We collect the display name you choose, your email address, a rating and your review text. The email address is used only to check the review against a real booking and to come back to you if we have a question — it is never published alongside the review. The legal basis is your consent, given when you submit the form.
When you pay
Card payments are handled by Stripe on their own secure pages. We never see, handle or store your card number. What we keep is the payment reference Stripe gives us, the amount, and whether it succeeded, so we can match a payment to your booking.
When you book through Airbnb, Booking.com or VRBO
Bookings made on those platforms reach us through our channel manager, and we receive your name and the dates of your stay so the calendar stays accurate. Whatever else you gave the platform stays with the platform, under their own privacy policy.
When you just read the site
Our servers keep short-lived technical logs of requests — the sort of thing every web server records. There is no analytics package, no advertising pixel and no visitor tracking on this site.
Who else handles your information
We use a small number of established suppliers to run the business. Each one only gets what it needs to do its job, and none of them may use your information for their own purposes.
- Stripe — takes card payments.
- Brevo — sends booking and payment emails.
- Beds24 — our channel manager, which keeps this site's calendar in step with Airbnb, Booking.com and VRBO. It receives your name, email address, phone number and stay details for direct bookings.
- Google Cloud — stores the booking records and runs the booking service.
- Cloudflare — hosts and protects the website, and runs the spam check on the contact form.
We do not sell your information, we do not share it with advertisers, and we do not send marketing emails — every email we send is about a booking or enquiry you have made. We also don't make any automated decisions about you.
Where your information is stored
Our booking records are held on Google Cloud servers in the United States, and our suppliers above operate internationally. Where information leaves the UK, it is protected by the standard contractual clauses those suppliers have in place for UK and European customers.
Cookies
We don't use analytics, advertising or tracking cookies, which is why you aren't being asked to accept anything. The only cookie set when you visit is one Cloudflare uses to keep the site secure and tell real visitors from bots:

These are what the rules call "strictly necessary": the site could not be served safely without them, so they don't require your consent. If you would rather block them, your browser settings will let you, though parts of the site may stop working. The contact page also loads Cloudflare's Turnstile spam check, which does not set a cookie.
How long we keep things
- Bookings — for six years plus the current year, because HMRC requires business records to be kept that long.
- Enquiries — archived automatically after twelve months and permanently deleted after twenty-four. This happens on a daily automated sweep, not by hand.
- Reviews — for as long as they are published on the site. Ask us and we'll take yours down.
Your rights
You can ask us to:
- send you a copy of the information we hold about you;
- correct anything that's wrong;
- delete it, where we don't have a legal reason to keep it (tax records being the usual exception);
- stop or limit what we're doing with it;
- send it to you, or to someone else, in a portable format.
Email [email protected] and we'll deal with it within one month. There's no charge.
If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113. We'd appreciate the chance to put it right first.
Changes to this notice
If we change how we handle your information we'll update this page and the date at the top.
